How to write a resignation letter (and what to leave out)

A resignation letter is a short, formal record that you’re leaving and when. It goes to your manager, and often HR keeps it on file. It isn’t the place for feedback or grievances. Its job is to make your exit clear and keep the relationship intact.

What to include

  1. A clear statement that you’re resigning and from which role.
  2. Your last working day. This is the most important line. Check your contract for the notice period.
  3. A brief thank-you. One or two sincere sentences are enough.
  4. An offer to help with the handover: documenting your work, finishing or passing on projects, training a replacement.
  5. A professional sign-off with your name.

What to leave out

  • Complaints about the company, your manager or colleagues. If you want to give feedback, an exit interview is the place, and even there, be constructive.
  • Details of your new salary or employer. You can share them in conversation if you want to; they don’t belong in the record.
  • Long explanations. A one-line reason is optional. No reason at all is perfectly professional.

How much notice should you give?

Your employment contract wins. Common norms:

Tell your manager first

Whenever possible, resign in a conversation (in person or on a call), then send the letter the same day as written confirmation. Hearing it from you first, not from an email or a colleague, matters to most managers.

After you resign
